Getting lots of applications feels like good news until you have to read them. Without a clear process, CV screening can take days, and it's easy to be swayed by things that have nothing to do with the job. Here's a simple way to screen CVs quickly and fairly.

1. Set your criteria before you open a CV

Write down the three to five things a candidate must have to do the job, taken from the advert. These are your "must-haves". Add a short list of "nice-to-haves". Deciding this first keeps every application judged against the same standard.

2. Sift in two passes

First pass: check each CV against the must-haves only. Sort applications into yes, maybe and no. This should take a minute or two per CV.

Second pass: look closely at the yes and maybe piles. Consider relevant experience, achievements and the nice-to-haves. Aim for a shortlist of around five to eight people.

3. Focus on evidence, not polish

A beautifully designed CV isn't the same as a strong candidate. Look for evidence: what did they achieve, and how does it relate to your role? Gaps in employment aren't automatically a concern. People take time out for caring, study, health or many other reasons.

4. Keep it fair

Judge candidates only on the skills and experience the role needs. Be careful not to be influenced by names, ages, photos or addresses. Some businesses remove these details before screening to reduce unconscious bias.

5. Use short pre-screening calls

A 10 to 15 minute phone call can save hours of interviews. Use it to check salary expectations, notice period, availability and interest in the role, and to ask one or two questions about their experience. It quickly shows who is genuinely a good fit.

6. Let everyone know the outcome

Candidates who hear nothing back often remember it, and they may be your customers too. A short, polite message to unsuccessful applicants protects your reputation and keeps the door open for future roles.

7. Handle CVs in line with UK GDPR

CVs contain personal data. Store them securely, only share them with people involved in the hiring decision, and don't keep them longer than you need to. Tell candidates how their data will be used.
